SUMMARY

As Receptionist this position will be the first point of contact for visitors to FGS Saudi Arabia facility in Dammam. In addition, the position performs several administrative tasks to the highest quality standards.

PRIMARY RESPONSIBILITIES

· Operate front desk telephone; welcome & greet visitors, receiving and transferring calls, announcing callers, taking brief messages and directed to the staff members.

· Manage visitors at the front desk – Ensuring entry in the visitor’s book and coordinating with the relevant staff for the purpose of their visit.

· Manage delivery and receivals by post or courier.

· On receipt of appropriate request, coordinate for transport, airport pick, flight/ hotel reservation, etc.

· Responsible to maintaining administration office notice board and circulating any official communication.

· Should be able to communicate, translate and write official communication, both in Arabic and English.

· Collate and update staff lists, overseas offices and contact details regularly.

· Keep updated records of office expenses and costs.

· Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing

· Update calendar and schedule external and internal meetings.

· Ensure proper cleanliness of the admin block, and maintenance issues, if any.

· Maintain consumption and inventory of stationary and cafeteria stock. Assist in arranging catering provisions.

· Provide administrative and general support to the Plant Manager.

KNOWLEDGE AND SKILL REQUIREMENTS

· Fluent in Arabic and English

· Secondary education.

· Skilled in Microsoft Office applications, including Word, Excel and Powerpoint.

· Good communication skills

· Pleasant personality

· Able to deal with emergencies in timely & effective manner

· Good presentation skills

· Skilled in handling people.

· Flexibility
