Personal Assistant to General Manager-1814437
Basic purpose of the job:
To perform administrative and coordination support for the General Manager (GM) and local management team whilst adhering to best practice principles and Boehringer Ingelheim’s (BI’s) standard operational procedures (SOPs).
Reporting line: General Manager & Head of Human Pharma – KSA
Accountabilities:
Managing an extremely active calendar of appointments; completing expense reports;
composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings
Plans, coordinates and ensures the GMs schedule is followed and respected
Successfully completes critical aspects of deliverables with a hands-on approach, including
drafting acknowledgement letters, personal correspondence, and other tasks to facilitate the GM.
Assists the GM in preparing for meetings by providing documentation, reports and previous minutes
Provides a bridge for smooth communication between the GM’s office and internal
departments; demonstrating leadership to maintain credibility, trust and support with senior
management staff.
Plans, organizes and participates in management meetings by taking the minutes, arranging for their distribution and following up on any action items with META management team on the status of their pending tasks
Arranges and supervises hotel, visas, transportations etc for special guests in coordination with the GM and local Management Team
Requirements:
  • Minimum bachelor degree
  • Minimum 3 years in Office Administration/coordination
  • Excellent organization, communication and presentation skills
  • Excellent MS Office (Excel and PowerPoint) skills
  • Fluency in English and Arabic
  • Results orientation / conflict resolution / team working / time management / creativity and critical thinking / working under pressure / problem solving and decision making / project management / business administration
  • Saudi National
  • Based in Riyadh
